How CatSU Dorm Works
A step-by-step guide to the dormitory application, billing, and maintenance process for both students and dorm managers.
Overview
CatSU Dorm manages the full lifecycle of a student's stay — from applying for a dormitory slot, to being assigned a room and bed, to settling billing, and requesting help along the way. The process below walks through what happens on each side: the student applying for housing, and the dorm manager who reviews, assigns, bills, and supports them.
For Students
Sign in & Apply
Sign in using your Core Student Portal credentials, then submit a dormitory application for the active academic year and semester. Indicate if you are a TES grantee.
Wait for Approval
Your dorm manager reviews pending applications. Once approved, you become eligible for a room and bed assignment.
Settle the Order of Payment
Before check-in, you must settle a 1-month security deposit (held for your entire stay, never applied to rent) plus a 1-month advance that covers your check-in month in full.
Room Assignment & Check-in
Once payment is confirmed, your dorm manager assigns you to a specific room and bed. Your assignment details appear under My Room.
Pay Monthly Dues
Starting your 2nd month, each succeeding month is billed on its 1st day with a 14-day due date. Check Billing anytime to see what's paid, pending, or overdue — you can also settle several months at once.
Maintenance & Messages
Report a room or bed issue, or message your dorm manager directly, from the My Room page.
For Dorm Managers
Review Applications
Under Regular Applications, review pending applicants from your assigned dormitory and approve them for the active term.
Collect the Order of Payment
On Order of Payment, generate the check-in charge (deposit + 1st month advance) for approved students, then record the OR number once they've paid.
Assign Rooms & Beds
On Room Assignment, students only unlock the assignment form once their order of payment is marked paid. Pick a vacant bed and check-in date to complete the check-in.
Bill Succeeding Months
Back on Order of Payment, under Active Occupants, generate each student's next monthly due — or enter a month count to bill several months in one go.
Handle Maintenance Requests
On Maintenance Requests, track reported issues per student, update status (pending → in progress → resolved), and leave remarks.
Respond to Messages
On Messages, view every student conversation for your dormitory and reply directly.
Good to Know
Is the deposit refundable?
The 1-month deposit is held as security for the entire stay and refunded when you check out. Your dorm manager may instead choose to apply it to your final month's rent, in which case it won't be refunded separately.
When are monthly dues due?
Each succeeding month is billed on its 1st day, with a 14-day due date.
Rates differ by dormitory
Monthly rates depend on the dormitory (male/female) and student classification (regular, exempt, transient).
